Created in 1937 through an agreement between the state and the pre-existing railway businesses, SNCF is France’s national public railway company. Here we are concerned with the Quercy Corrèze site, which manages the construction and servicing of SNCF’s maintenance equipment. Its documentation department takes care of designing and updating maintenance documents (“machine” maintenance files and “subassembly” maintenance files associated with machines); creating the inspection documents needed by technicians for their maintenance operations; and reviewing and approving “machine” and “subassembly” maintenance files every two or five years depending on the equipment involved.

The SNCF Réseau Quercy Corrèze site currently represents:

• 260 employees
• €50 million in annual turnover

• 1,600 items of maintenance machinery from all of France and the rest of the world, including 40 types of machines and 140 mechanical and electromechanical subassemblies, all different.

THE PROBLEM

The site classified its maintenance files and inspection documents using a Windows tree structure. This meant that searching was inefficient, sharing documents was difficult, there was little document traceability information and version control was complex to manage. In addition, inspection documents were created manually, which took around 30 minutes per document and increased the risk of errors.

The solution had to fulfill the following requirements:

• Centralizing the management of maintenance files and the associated inspection documents and guaranteeing traceability and security
• Locating documents efficiently (using appropriate search keys)
• Managing version control for maintenance files and inspection documents
• Saving time and making inspection document creation more reliable
• Optimizing the review/approval process for maintenance files
