When it came to choosing a new system, Esprit’s Financial Director, Zoe Vine, consulted closely with the IT department to address the technical requirements of compatibility. Alongside discussions with the Managing Director about budget considerations, they decided to choose a solution previously known to them: Efalia ECM.
Having some knowledge/past use of Efalia ECM, Zoe was already familiar with its capabilities and expected support. The decision to choose ECM was driven by several factors. For one, Efalia’s continuous development ensured that the software would evolve with their needs. The move to a cloud-based system also presented significant opportunities for flexibility, scalability, and remote accessibility—key considerations for a modern, forward-thinking company like Esprit.
The Implementation: A Seamless Integration Process
The project kicked off with a clear goal: to migrate historical data accurately, streamline the existing document management processes and integrate with Esprit’s existing ERP system.
Due to scale of the data migration, the original go-live date of July 2024 was quite optimistic. However, the project team prioritised getting the system right over rushing the process. As a result, they took the time necessary to ensure that everything was set up perfectly, allowing for a smooth transition once the system was fully operational.
Integration and Automation: A Game-Changer for Efficiency
ECM’s integration with Esprit’s ERP system, which manages stock control, purchasing, and billing, allowed Esprit to continue to match supplier invoices to goods receipts and automatically populate ECM when scanning physical invoices. With ECM, Esprit continues to enhance their automation and reduce time and effort spent on data entry and invoice processing.
The user-friendly Web App was also a major highlight of the new system. Employees found it to be simple to use and easily accessible, making document management smoother across the board. While minor snags were expected with the introduction of any new software, the development team from Efalia quickly addressed any issues, providing responsive support and ensuring the system remained operational without disruption.
The Results: A More Agile and Future-Proof Organisation
The primary objectives were to streamline our document management processes, improve efficiency, and move to a cloud-based system to increase flexibility and scalability. The impact has been overwhelmingly positive, allowing for smoother operations and more efficient workflows across the business.
The benefits of the new system were immediately apparent. The flexibility of the cloud-based system meant that documents were accessible 24/7, giving staff the autonomy to retrieve what they needed without waiting on others.
Looking to the future, Esprit is already exploring further possibilities within the system, including the use of workflow automation for approvals. While the necessary protocols are still being defined, the potential for streamlined processes in the future is promising. Esprit is in the process of replacing two of their scanners, and the continued support from Efalia will ensure this new hardware is smoothly integrated into the system.
